Scorecard



The Scorecard Component enables you to create a Template based on your sales methodology. The Scorecard is created using different types of questions and assigning those questions into different categories. 

Scorecards also facilitate category and question syncing with fields on the Opportunity or ClosePlan Object for reporting purposes or to propagate Scorecard data from the Opportunity. 



Scorecard Layout & Navigation

1. Template Information - Template type, Name, Version #

2. Scorecard tabs - Detail, Playbook, Scorecard, Scoring Tiers, Relationships

3. Scorecard Summary information - Categories, Questions, Max Score information

4. Question bar - Create new questions here.

5. Category Header - Shows Category Name, # of Questions in the Category, weighted %, max score possible,

 Add a Question, 
 move Category up or down in the list, 
 Sync Category (Grey = Not synced, Orange = Synced)

6. Questions and Answers:

    Questions - Shows the question, type of question and relevant information

  • - Indicates the type of question (See Symbols chart below)

  •  - Allows you to add help text related to the question. Click on the icon to add your text. 

  • Max Score - Shows the maximum score value for relevant question and answer

  • Score: - Shows the value for a particular selection (In this case the question is a Picklist with 3 possible answers scoring 0, 25 and 50)

  •  - Edit the question or answer.

  •  - Sync settings. Synchronizes the question with Opportunity or ClosePlan fields (propagate data to the Opportunity or Reports)

  •  - Remove the question or answer.

   Answers - Shows the provided answers to Picklist questions

  •  - Add an answer.

Scorecard question types

Question Mode List

  • Text 

    • Used when text answers are required. Users answer questions with plain text.
      Text questions are scored with a predefined score value if the answer is provided.
      If no answer is provided, the score is 0.

    • Character Limit = 4096

  • Rich Text

    • Used when a text answer is required and Rich Text is preferred. 

    • Rich Text answers are formatted with WYSIWYG functionality.

    • Rich Text questions are scored with a predefined score value if the answer is provided.
      If no answer is provided, the score is 0.

  • Scoring

    • Answers are scored based on User’s subjective decision under min/max limit. 

  • Yes/No

    • Users provide simple  Yes / No answer to the related question. If no answer is provided, the score is 0. Yes/No answers can also have an additional text answers provided by the use

  • Yes-No with Answers

    • User answers are combination of Yes-No and Answers type. If Yes is answered, the user will be also prompted to select an answer from the list.
      If the User answers No, the answer list will not appear.
      The score value is added only if the users provides a Yes answer and also selects a text answer from the list. 
      Test answers can be single or multi-select answers.

  • Answers

    • Answers must be defined together with a score value. Possibility to choose single- or multi-select answers.  

      • Single Select - only one answer may be selected,

      • Multi-Select -  one or more answers may be selected

  • Field

    • Sets data from opportunity fields that will be promoted to the question. Users can then continue to work with the answers. 
      Field answers can also have additional text answers provided by the User

  • Contact Tracking

    • Contact Tracking questions assign relevant Contacts to the Opportunity Deal directly in the Scorecard question



Question Mode List

If your question Mode list does not have all available choices (most likely missing would be 'Rich Text' and 'Contact Tracking' type), then your organization may be missing some question Mode types.

Create Questions

  • Click button and select the question type in the modal

Create a Text Question

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Assign a Score value

  • Click 'Save' or 'Save and New'

Create a Rich Text Question 

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Assign a Score value

  • Click 'Save' or 'Save and New'

Create a Scoring Question

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Assign a Max Score value

  • Click 'Save' or 'Save and New'

Create a Yes/No Question

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Assign a Score value

  • Toggle to activate and additional Text Answer option

  • Click 'Save' or 'Save and New'

Create a Yes/No with Answers Question

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Question Options: Single Select or Multiselect


  • Click 'Save' or 'Save and New'

  • Answers are added inline in the Template for Single Select and MultiSelect options



  • QUESTION OPTIONS

  • If toggled to Multi Select

    • Choosing 'Scored Per Answer' will assign individual score per individual answers




OR

  • If Toggled to Shared Score

    • Choosing Shared Score will assign a single score regardless of how many answers are selected.



Create Answers Question

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • Question Options: Single Select or Multiselect

  • Click 'Save' or 'Save and New'


  • Answers are added inline in the Template for Single Select and MultiSelect options



  • QUESTION OPTIONS

  • If toggled to Multi Select

    • Choosing 'Scored Per Answer' will assign multiple individual scores per individual answers




OR

  • If Toggled to Shared Score

    • Choosing Shared Score will assign a single score regardless of how many answers are selected.



Create Field Question

Field Questions allow data to propagate to and from the Opportunity Object and the Scorecard Question. Users select answer/s from the provided options based on the selected Opportunity field.

Available Field TypesPicklist, Multi-Picklist, Lookup, Date, Text, Long Text, URL, Phone, Email, Currency, Number, Percent. 

  • These fields connect to Custom fields or some Standard Fields from the Opportunity Object. 

Note: Some Standard Opportunity Fields are not available by default and cannot be selected.

Excluded fields:

  • Picklist Fields:  StageName, ForecastCategoryName

  • Text Field: Name

  • Checkbox Field

    • A Checkbox is either/or, meaning it always has a value, so is always answered. It cannot be unanswered.

    • Workaround: Use a Picklist with yes/no instead of checkbox.

  • Numbers / Currency / Percent Fields: TotalOpportunityQuantity, Probability

  • Lookup Fields:  AccountId, RecordTypeId, CampaignId, Pricebook2Id, OwnerId, ContractId, TSPC__CPDeal__c



You can add max. 4 fields to each Opportunity Field Question. 



  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • QUESTION OPTIONS:

    • Score - Assign a score value

    • Text Answer - Add an optional Text Field to the Question

  • Click 'Save' or 'Save and New'

  • FIELD CONFIGURATION

    • Select the 'Field Type'

    • Select the Field. 

      • Available Fields will depend on your Org set up.

Create Contact Tracking Question

The Contact Tracking question will require the User to identify and add one or more Contacts to the Scorecard Question for a required Role, Decision Status and/or Support Status

  • Enter your Question text in 'Title'

  • Select the Category (if you have created Scorecard Categories in the General settings)

  • Add an optional code. 

    • Code allows Admins to refer to questions by a code. 

    • Codes can reference that specific question even if the question or answers change over time.

  • QUESTION OPTIONS:

    • Assign Max Score - Assign a maximum score value

    • Select Target Count - indicates the number of Contacts preferred

    • Select Attribute - (Based on your Org settings)

    • Select Value - Indicate the Role Value

  • Click 'Save' or 'Save and New'

After Selecting Options 

, additional selections will be made based on your Organization's Settings.

The following are examples and may not match your settings.

If you choose Role, select the values present in your organization

Add Answer into the Question

For created questions with single- or multi select answers you can define the answers from which users can select. 

  • Click Add Answer button by the question

  • Enter the answer

  • Select a color (colors can easily identify answer score)

  • Mark the checkbox Text Answer if you want users to add free text for relevant answers

  • Set the answer score and save

     

Category and Question Sync settings

Category and Question Sync settings enable synchronization of data from the scorecard template with fields from the Opportunity or ClosePlan.

Scorecard Categories and Questions Sync will show % Score or Score in points. 

Individual data can be propagated on the Opportunity layout or in the Reports

Settings are made to the template from which you want to propagate data. If there are multiple templates (or multiple versions), you need to set up sync for each template (versions) from which data will be propagated.

To assign the sync, the custom fields on the Opportunity or ClosePlan need to be created. To propagate data to the Opportunity layout, the custom fields need to be created on the Opportunity. 

Category Sync Setting

  • Go to Templates > open the Template from which you want to propagate data.

    • Note: if there is more than 1 template or template version, and would you like to have data from every template or version, you must set the sync in each template/version.

  • Go to Scorecard > click the Category Sync settings

  • Select Target Object - the object where you created the category fields (Opportunity or ClosePlan)

  • From Score % Field or Score Points Field select the created category field. The values must match.

    • e.g. If you are setting sync for Metrics scorecard category in %, the field created for Metrics category as percent type must be selected.

  • Save

  • Repeat steps to set sync for other categories

Single Question Sync to Field

  • Go to Templates > open the Template from which you want to propagate data.

    • Note: if there is more than 1 template or template version, and would you like to have data from every template or version, you must set the sync in each template/version.

  • Go to Scorecard > click the Question Sync settings icon:

  • Select the Target object to which the values will be propagated (opportunity or deal). (Opportunity or ClosePlan)

  • Select other values for individual fields from which you would like to propagate data and Save - The values must match!

    • Note: If you don't have relevant fields on the Opportunity to propagate the data, you need to create them on the relevant Object

      • ClosePlan Object
