Reporting Options with ClosePlan Data

 

 

Overview

This section contains a selection of Reports that can be built with ClosePlan data from Opportunities and Accounts, as well as Account Plans.

Report Data:

  • Reports with ClosePlan data are based on Templates.

  • Each organization has one or more unique Templates, therefore it is often necessary to create custom fields on the ClosePlan or Opportunity Objects to surface data to Reports.

Report Types:

  • Reports are created based on Standard or Custom Report Types.

  • Account and Opportunities reports can be created from:

    • Accounts and Opportunities WITH ClosePlans (Standard Report Type)

    • Accounts and Opportunities WITH and/or WITHOUT ClosePlans (Standard Report Type)

    • Custom Report Types

 

Custom Report Types in organizations that use Role Hierarchy show all records below the current Role.

  • Standard Reports show all the Opportunities the Running User can see.

  • Custom Report Types will only show Opportunities owned by a User with the same Role or lower in the Hierarchy.

    • In this case if the missing Opportunities are owned by a User with a Role higher in the Hierarchy, the Running User will need to click on that Role in the Hierarchy selector.

    • If there is a User without provided Role, those records will be not shown in the report at all. 

Workaround:Create a "Global" role that sits above all other roles in the system, and then save your custom reports set with "Global" as the hierarchy level.

 

 

Report examples for which you can show data:

Playbook - Event status, Checklist progress and/or Checklist completion, etc.

Scorecard - Overall Scorecard score, Categories score, Questions completed, selected Answers with selected Scores, etc.

Relationships Map - Number of Stakeholders on the map, number of Stakeholders for individual Stakeholders values (i.e. for individual Roles, Support Status, Decision Status), etc.

ClosePlan Coverage - percentage coverage of ClosePlan within Opportunities by Rep.

2. Account Plan Adoption by Rep

This Report shows Account Plans created/owned by Reps with last date modified information for the Account Plan, Scorecard, Whitespace Map.

Note: The field ‘AP Last Modified (Days)’ is a formula field that must be created on the CP: Account Plan Object. Instructions are included below.

Note: The column ‘Current’ indicates that the Account Plan is current when the report is run. An Account Plan with Status ‘Open’ may not be current at the time the Report is run, but may be ‘current’ in the future.  (e.g. The Account Plan’s selected Fiscal Year is in the future, selected Quarter is in the future, or month, etc.)

Create Custom Fields for this report

Create AP Last Modified (Days)

Go to the Gear icon in the top Right > Set up

  • Select the Object Manager tab

  • In the Quickfind box enter CP: Account Plan

  • Select Fields and Relationships > New

Step 1:Choose the field type

  • Data Type: Formula

    • Next

Step 2: Choose Output Type

  • Field Label: AP Last Modified (Days)

    • Field Name: AP_Last_Modified_Days

    • Formula Return Type: Number

    • Decimal Places: 0

    • Next

Step 3: Enter Formula

  • Formula: TODAY() - DateValue(LastModifiedDate)

    • Note: Enter the formula in the AP Adoption (Text) = Field

    • Check Syntax

    • Next

Step 4. Establish field-level security

  • As needed (generally you may choose to make all visible)

    • Next

Step 5: Add to page layouts

  • Select the page layouts as needed

    • Save

Account Plans with Category Scores

The Columns in this Report will vary in each Org according to the Categories found in the Account Plan Templates.

This documentation should be considered as a loose guide, your Report will differ.

Import Fields

In the Report Type, click Edit Layout

On the right side, select View: CP: Account Plan Fields and click on Add fields related via lookup

 

Select Account

 

Select Account Owner

Click Ok

 

Confirm the value is present and then click Save

The Account Owner column is now available in the Report Type

Historical Trending (Tracking) Reports:

 

Historical trend Reporting allows tracking of how Field values have changed over time. 

When setting up historical trend Reporting, keep in mind that retaining historical data increases storage requirements.

Salesforce historical tracking limitations:

  • Max. 3 Objects

    • Reports can be built only per Object

  • Max. 8 Fields per Object (The Opportunity Object has already 5 fields set as default, leaving only 3 custom Fields that can be tracked)

    • Formula and Roll-up Summary Fields can not be tracked

Because of Salesforce limitations, it is impossible to track all ClosePlan fields.

Workaround solutions must be created via process builder.
